Volunteer Information

Volunteering is the lifeblood of summer swim league. It is vitally important that all families volunteer and participate in the conduct of the meets. Each family is required to fill a volunteer role for at least 4 meets for the season. If you are on the schedule to fill a role at a meet, it is EXTREMELY important that you show up on time to fulfill your duties. The meet depends on it! If you cannot make it, it is YOUR responsibility to find a replacement. Please take the volunteer role seriously.

Below is a list of volunteer positions with a brief description:

Announcer - Calls swimmers to the clerk of course for each event; announces scores, records, upcoming events, etc. Full meet time requirement. If you have DJ skills that is a plus. 

Concessions - Responsible for set up and clean up of concession area and ice cream distribution, and managing sales

Clean Up Crew - Helps pick up and empty trash cans and puts all chairs and loungers back on the deck, diving blocks, tents, ropes, and lane lines. Helps with clean up of tables and equipment in clubhouse as well. 

Clerk of Course - Ensures swimmers are in appropriate lanes and combines heats when appropriate (high experience role but can be trained). Needs to document any lane changes and no shows. 

Head Timer - Sets up timing system, conducts timers meeting and runs backup stopwatch for all races

Hospitality - Hands out water to volunteers and fills in for others as breaks are needed. 

Kid Pusher (Boys & Girls) - Stages and organizes the young children into the appropriate heats

Meet Administrator - Responsible for entering meet information into Meet Maestro, includes Place Judge records, Disqualifications. Needs to understand the TimeDrops timing system to configure with Meet Maestro for automatic entering of times. 

Order of Finish Judge - Determines swimmer place (1st - 6th) in the main heat only. We supply 1 judge and the other team supplies 1. This is used as a back up to the times if times are lost or there is a tie (High experience role but can be trained easily)

Ribbon Distributor - Hands out ribbons to participants and heat winners for the younger children

Ribbon Writer - Writes the names and times on the ribbons for 1st - 6th place. Works with the Meet Admin to print labels every 5 to 10 events to provide the visiting team ribbons upon conclusion of the meet. 

Runner - Takes the order of finish form and DQ slips to the meet administrator 

Set Up Crew - Removes all chairs and loungers from deck and stacks them up. Puts up ropes, takes down diving board, puts in starting blocks. Removes tables from the Covered areas. 

Starter - Announces the meet and starts each heat. (high experience role)

Stroke & Turn Judge - Ensures that each swimmer is using proper technique for main heats only (High experience role and requires special training and certification)

Timer - Times each heat with TimeDrops timer (only needs to press stop as the timing system automatically starts the watch). 

TSA Rep - Responsible for the conduct of the meet, adjudicates issues/concerns, enforces rules, and official signatory at the conclusion of the meet. TSA reps are responsible for tracking and posting team and pool records and entering meets scores into the league system. (good to have multiple reps to divide up meets)
